Accurate data entry is crucial for maintaining the reliability and integrity of information. Mistakes during the data entry process can lead to significant issues, such as incorrect reports, flawed analyses, and misguided strategic decisions. When careful attention is made to the details, organizations can uphold the quality of their data and confidently make well-informed decisions.

Now that OASIS V3 has been in operation for over a year, we have seen where some data entry point errors and accuracy issues tend to occur. 

Not Disabling Old Certificates

In the example below, we have three finished certificates and one in draft status (no check mark). This means that all three certificates will be pulled into Search & Track.

The draft one is fine, as it will not be pulled into Search & Track until it is “Finished.”

Let’s say certification #1 is Certified and certification #2 is Expired. You will get double the results on Search & Track, both “Certified” and “Expired.”

If Certification #3 is from a previous CB, their name will show alongside the current CB until that certificate is disabled.

Typos in the Certification Number

Since the Certification Number is an open text box (see below), it is critically important to use the same name every time. If the certification name differs, this can cause issues within the accounting field or in tracking certificate history.

Audit Being Removed

This issue is less significant because, during the audit creation process, the audit is locked to the certificate and cannot be edited. However, we have encountered some individuals who were either certifying on the supplier record (not within the audit) OR later modifying the certification and manually removing the audit (see below). The proper route is to certify within the audit and NOT remove audits during certification modifications.
